Compliance to this combined policy is mandatory for all staff and only director approved deviances will be allowed.
The company recognises that the procedures in conjunction with this integrated policy statement which itself is an expression of the commitment of the company to environmental protection, quality throughout all business operations, and protecting the health & safety of all staff, as basic management responsibilities.
The policy will be reviewed and if required updated every 12 months unless legislative changes necessitate more frequent changes. The specific arrangements for the implementation of this policy and the personnel responsible are detailed in the management review procedure for the company.
3.1.1. Objectives: Health and Safety
Objective 1: To ensure that all staff, suppliers/ sub-contractors are aware of and compliant with XI Health and Safety Policy,
Measure: Toolbox talk form sign off
Target: Ongoing
Action: To ensure that all staff and contractors acknowledge that they have seen and understood the policy and that all suppliers have had sight of the policy statement.

Objective 3: To ensure that all physical XI Training equipment/ material/ PPE kit is inspected (and replaced where necessary – immediately) at least every 6 months or according to the manufacturers or installers instructions. Objective 5: To minimise the occurrence of transferrable illness by means of physical contact by placement of sanitising gel in office and kitchen areas. Objective 6: To ensure that all personnel are aware of and updated with the regulatory legislation that applies to the delivery of XI Training’s courses and services – by exception and reported as it arises, at the quarterly management meeting. Objective 7: To ensure that all clients/ delegates/ visitors to XI Training are made aware of the potential hazards relating to participating in activities on or by visiting, XI’s premises – ongoing and monitored via the quarterly management meetings. Objective 8: To ensure that all XI’s health and safety policies and initiatives are posted on the reception notice board by end February 2024 and updated in a timely manner thereafter. 3.1.2. Objectives: Environmental
Due to the nature of XI training’s business/ operational environment, meaningful, measurable objectives are difficult to articulate however the company will aim to ensure the following:-

Objective 1. Minimise the effects on traffic pollution by carefully planning business journeys and travelling together in one vehicle where appropriate. Measure: Vehicle mileage Action: All travel arrangements to be co-ordinated to ensure best use of vehicles for transportation. Objective 2: Use the appropriate cleaning and bleach products so as not to affect the efficient and effective working of the company’s on-site (shared) septic tank. Objective 3: Carefully use and dispose of cooking oils and fluids in conjunction with sister company, LARS Communications, oil collection contract. Objective 4: Maintain the effective working of the XI building which has been designed and built with energy conservation in mind; insulation and materials, lighting sensors in all areas and high efficiency heating system. Measure: Monitor fuel bills and compare for similar times of the year. Action: To monitor usage of electricity and LPG and to be aware of any annual fluctuation. 3.1.3. Objectives: Quality
XI Training’s main aim is to ensure that the customer journey - the process by which its clients, staff and suppliers collectively provide the ‘XI Training Experience’ – is one that is:
- Driven by XI Training’s quality system and by implication XI staff.
- Capable of being fulfilled and delivered by all stakeholders in the business.
- Efficient and effective in terms of delivering added value for XI Training’s clients.
- Profitable for all stakeholders involved in the value chain.
- Visible and controllable by XI staff - and its customers - where appropriate.
These aims will be influenced by the following key objectives:
Objective 1: Ensure that all Workshop and Training Evaluation forms (QP-25) are returned for every course and that the overall satisfaction rate is above 90%.
Measure: Utilise quality form QP-25
Target: Minimum 90%
Action: Post-course daily audit and stats reported at monthly management meetings.

Objective 2: Ensure that all quotes are entered onto SAGE –LINE 50 and sent out to customers within 4 hours of initial enquiry.
Measure: Reference point - XI Training Management System course schedule and SAGE LINE 50 quote output.
Target: 4 hour turnaround as minimum from initial enquiry.
Action: Ensure all staff have been trained on SAGE LINE 50 and Mgt Suite

Objective 3: Ensure that all sales orders are booked onto the Management System & SAGE LINE 50 correctly in line with (QP-21).
Measure: Correct entry analysis on both systems monitored by Finance team.

Objective 4: Ensure that PPE Kit sales orders and PPE Inspection requests completed within 7 working days
Measure: PO posted on system until invoice date – Sage line 50 reports.

Objective 5: 90 day advance publication of course schedule on website and Mgt Suite – 4 times per year.
Measure: Manual posting and clarification by team members.

Objective 6: Ensure course frameworks adhere to awarding body’s criteria; MATS (EURS), Qualsafe, PASMA in terms of content, timing and course materials - once per quarter by training team.
Measure: 100% adherence.

Action: Training course lesson plans, delivery and materials audited/ checked internally.

Objective 7: Ensure that all suppliers and contractors are aware of and compliant with XI Training’s quality management system by end of March 2024.
Measure: Timely return of Supplier Assessment form (QP-22)
Target: 100% return of all QP-22 forms

Objective 8: Ensure that all clients and prospects (ACT Database) are informed of/ updated on XI Training’s course schedule and PPE/ support services on a monthly basis.
Measure: Internal inclusion on mailing and response report via Mail Chimp.
Target: c1200 contacts mailed/ 18% open rate per newsletter – minimum of 10 newsletters per annum.
Action: Database cleansed and comms material prepared monthly – messages replicated on social channels

Objective 9: Ensure that all staff are fully trained on the software systems that direct and control the main elements of XI’s quality system; namely the Management Suite and Sage Line 50
Measure: Weekly ‘Toolbox talks’ to ensure 100% knowledgeable on key sales order processing, booking and financial processes to be recorded.
Target: 100% knowledgeable – all staff
Action: Updates on training, incomplete knowledge corrected immediately.

Objective 10: Ensure that XI Training Price List is kept up to date with supplier’s changes and mirrors corresponding prices on Sage Line 50 – monthly audit.
Measure: Action product/ price changes within 24 hours of receipt of change.
Target: 100% correct reconciliation; Sage Line 50 v Supplier prices
Action: Update and confirm to all staff when changes/ updates have been completed.
